Computer Tips & Tricks – Outlook 2007

Multiple Windows: Outlook 2007 supports the use of multiple windows, so you can keep your Input open and check your Calendar and Tasks quickly in another window. If you’re in (for example) the Inbox folder, right-click another folder (like Calendar) in the Navigation Pane on the left side. This brings up the shortcut menu; then select the Open in New Window command, and your Calendar will now be available as a separate window. You can open multiple folders, each in its own window, this way, keeping your existing folder open in the current window.

Safe Recipients List: If you belong to a mailing list or a distribution list, you can add the list sender to the Safe Recipients List. Messages sent to these e-mail addresses or domain names are never treated as junk, regardless of the content of the message.

On the Tools menu, click Options to open the Options dialog box.
On the Preferences tab, under E-mail, click Junk E-mail to open the Junk E-mail Options dialog box. Click the Safe Recipients tab. Click Add.
In the ‘Enter an e-mail address or Internet domain name to be added to the list’ box, enter the name or address that you want to add. For example, you can

  • add a specific e-mail address, such as Sharon@ComputerMagicTraining.com,
  • or an Internet domain, such as @ComputerMagicTraining.com,
  • or simply ComputerMagicTraining.com.
Click OK.

MURPHY’S MANNERS
POLISHING YOUR PROFESSIONAL IMAGE

Dear Murphy,
I was in a meeting this morning and the woman next to me kept tapping away on her BlackBerry. I found it very annoying. Do I have the right to expect that I am not disturbed by a flurry of activity in the seat next to me?

Dear BlackBerry-Annoyed,
Your co-worker who is locked in “The BlackBerry Prayer” during a meeting is sending a silent message to those around her. She is indicating to the person who called the meeting that purpose of the meeting is not as important as her BlackBerry business. She is letting the speaker know that what he has to say is not as important as what is happening on her BlackBerry. She is signaling to the other meeting attendees that they don’t have the right to expect a rat-a-tat-tat-free meeting. She is also potentially giving the impression that she is disorganized, unrestrained, and self-absorbed. This image doesn’t work well if you’re interested in a promotion. A meeting is a professional setting, and a professional demeanor is appropriate.

Benefit from Murphy’s professional development classes at Business Magic Training – her popular classes include:

  • Effective Business Writing and Email Etiquette
  • Effective Technical Writing
  • Business Class Etiquette for the 21st Century
